The Executive Assistant to the Chief Operating Officer (COO) is a high-level administrative position that works closely with the COO to help execute the organization’s operational goals.  The position supports the COO ‘s work which includes guiding members of the top level of the organization, working on key strategic initiatives, and participating in strategic development.  The position will support members of the Leadership Management Team including the Chief Technology Officer and the Senior Vice President of Property Operations with travel, scheduling, and other tasks. The Executive Assistant manages the COO’s daily time, correspondence, and travel to ensure that the COO is focused on tasks that service key operational priorities for the organization.  The position is also responsible for administrative duties related to operations, and other duties as assigned.



  • Manage COO’s calendar, communications, and travel arrangements
  • Draft original and routine correspondence for COO’s signature
  • Manage deliverables to the COO and provide any necessary reporting
  • Create and edit presentations, documents, and reports for the COO as required
  • Coordinate meetings and events: secure venue/meeting space; handle audiovisual needs, transportation for attendees, and catering, when appropriate
  • Support the COO’s participation in meetings: business units, leadership and Board of Directors; follow up on action items related to such meetings as directed by the COO
  • Provide support to the CTO and Senior Vice President of Property Operations with scheduling meetings, arranging travel, and other assigned tasks
  • Develop and maintain appropriate document filing systems and ensure compliance with records retention procedures
  • Complete special projects as assigned with strong follow-up to ensure that all necessary parties are included.
  • Interact daily with leadership team and supporting staff members. Communicate effectively and efficiently with all levels of the organization.
  • Maintain confidential information and secure access to sensitive company data.
  • Create, maintain, or update databases and/or database information.
  • Prepare and submit expense reports; review and approve office-related invoices.
  • Provide backup support on all office tasks, including greeting visitors and answering the main phone line for the corporate office
  • Develop relationships with key operational contacts, both internal and external

  • Minimum of 2-3 years supporting high level managers or C-level suite
  • Excellent interpersonal skills; must be able to work with many different personalities
  • Work independently and within a team
  • Organizational skills, consistency, and a high-degree of quality in work
  • Excellent judgement, discretion, diplomacy, and confidential
  • Accurate attention to detail with the ability to track and manage multiple projects simultaneously
  • Facilities or office manager experience is a plus
  • Strong written and verbal communication skills, including the ability to draft correspondence and other communications with minimum direction
  • College degree preferred or equivalent experience in a related field preferred
  • Ideal candidate will have a positive attitude, problem resolution capabilities, and an enthusiastic spirit
  • Intermediate proficiency with the Microsoft Office suite
  • Experience with MS Dynamics and/or Yardi preferred
  • Strict adherence to company philosophy/mission statement/values

  • May sit for several hours at a time
  • Prolonged exposure to computer screens
  • Repetitive use of hands to operate computers, printers, and copiers
